Modules & records
Where your data lives: the modules that hold your records, the columns on them, and how a record moves from open to done.
Understand it first
Set up your columns
Columns and data types
A column is one piece of information kept on every record — invoice number, total, due date. The type you give it decides what can go in it, how it looks, and what Merchaint can do with it later. Getting the type right matters more than anything else on this page.
Manage your columns
Column Manager shows every column in a module at once — record fields and line item columns side by side. Reorder, hide, edit or delete.
Connect a schema to a module
A schema is what extraction reads a document with. A module is where the result is kept. Connecting them is the join between reading documents and having data.
Work with records
The record grid
The list of every record in a module, with a toolbar for narrowing down what you see. It is where you will spend most of your time — and it is not a spreadsheet.
Search, filters and saved views
Three ways to cut a module down to what you want, and a way to keep the result so it takes one click tomorrow.
Add and edit records
Most records arrive from documents. Sometimes you need to type one in, or change one that is already there — and there is no save button.
The record page
Everything about one record on one screen: its fields, the document it came from, its line items, and what has happened to it.
Line items
The rows inside a record — the things listed on an invoice. They live in a table at the bottom of the record page, and the Amount is not worked out for you.
Finish and get data out
Open, closed and archived records
Every record is in one of three states. Open is normal, Closed means frozen, Archived means put away. This is the rule behind a lot of "why can't I edit this?" moments.
Export records
Getting records out of Merchaint as a spreadsheet — all of them, or just what you are looking at. Export follows your filters.
